Add a Document

You can add documents in the back office of the Govstack Content Management System and set up links to the documents from the pages on your website. Once a document has been added to the 'Media' tab, you can link to the documents using hyperlinks and buttons in a variety of content components.

Before adding a document in Govstack, you need to create a media folder.

Upload a document

To add a document to a media folder, you need to:

  1. Select the 'Media' tab from the Govstack main menu
  2. This will open the media section of the back office. You can choose the name of the folder you'd like to add the document to
  3. From here, you can drag and drop a document file where it says 'Drag and drop your file(s) into the area'. Or, you can click where it says 'or click here to choose files' to browse your computer's folders to find the document
  4. Once you have added the document, click 'Save' to complete the process

File size restrictions

Please note that documents you upload to the 'Media' tab must be less than 150MB in size. Document files larger than 150MB will not upload to the Govstack platform.

Add multiple documents at once

You can drag and drop multiple documents into the 'Media' tab at once. This will help you save time. You can also upload an entire folder of documents by dragging and dropping them into the "Drag and drop your file(s) into the area' field. All the documents inside the folder will upload to the Govstack CMS at once.

Replace a Document

Warning: Deleting documents or images and uploading a new version of the file with the same name will result in broken links. Once a file is deleted it's relative URL is lost. Follow the instructions provided to avoid having to relink document files.

To replace a document in a media folder, you need to:

  1. Select the 'Media' tab from the Govstack main menu and locate the file to replace
  2. Click the name of the file you want to replace. This will open the file details. Do not select the file's thumbnail or icon
  3. Click on ‘Remove file(s)’ link below the article or image thumbnail
  4. From here, you can drag and drop a document file where it says 'Drag and drop your file(s) into the area'. Or, you can click where it says 'or click here to choose files' to browse your computer's folders to find the document
  5. Once you have added the document, click 'Save' to complete the process. This will replace the file throughout the website

Move a document

To move a document file to a different media folder, you need to:

  1. Select the 'Media' tab from the Govstack main menu
  2. Select the folder that contains the document you want to move
  3. Click on the image icon of the document you want to move (not on its file name)
  4. Select 'Move...'
  5. Choose the media folder that you want to move the document to from the options available. You can also search for the folder's name in the search bar provided
  6. Click 'Submit' to complete the process

Delete a document

To remove a document from a media folder, you need to:

  1. Select the 'Media' tab from the Govstack main menu
  2. Select the folder that contains the document you want to delete
  3. Click on the image icon of the document file you want to delete (not on its file name)
  4. Select 'Delete...'
  5. Select 'Yes, delete' to confirm that you want to delete the document

What to do if deleting a document results in a broken link

Broken links can occur if you delete a file that was referenced by a regular link. You can prevent this by using the reusable components or pods to add link. This allows you to delete outdated documents or documents linked on multiple pages without resulting in a broken link. Deleting the reusable item would remove it from all locations on the website.
