Permissions

You can set up different user and user group permission levels for each form and folder in Govstack Forms.

Grant form permissions

To grant someone access to a form:

  1. Navigate to the specific form in Govstack Forms
  2. Select the “Manage Permissions” button (lock icon) next to the appropriate form, or if you're already in the form, select the "Permissions" tab from the toolbar at the top of the page
  3. Click the “+ Add Permission” button on the “Add Permission” page
  4. From the “User/Group” dropdown menu, select the appropriate user or user group
  5. From the “Role” dropdown menu, select the permission level for this specific user or group
  6. Click the “Save” button to complete the process

Grant folder permissions

To set up permission levels for a folder:

  1. Navigate to the appropriate folder on Govstack Forms
  2. Select the “Manage Permissions” button (lock icon) next to the appropriate folder, or if you're already in the folder, select the "Permissions" tab from the toolbar at the top of the page
  3. Click the “+ Add Permission” button on the “Permissions” page
  4. From the “User/Group” dropdown menu, select the appropriate user or user group
  5. From the “Role” dropdown menu, select the permission level for this specific user or group
  6. Click the “Save” button to complete the process

Permission levels

Review the different Govstack Forms permission levels to determine which permission levels you want to give to each user and user group.

The creator of the form is automatically designated an “Owner” permission level. Owners are able to modify and delete forms without restrictions. They also have full access to the form reports and any data captured from the form.

The “Full Access” permission level is the same as the “Owner” permission level.

Full access users can:

  • Edit and delete forms without restrictions
  • Access to all form reports and all data captured from the from

The only difference between the two permission levels is the name so that you can easily track who initially created the form.

The “Read Only” permission level allows the user to review the questions in the form through the “Design” tab in Govstack Forms. They can also view the form reports. Individuals with “Read Only” permission cannot edit the content in any way.

The “Reports Only” permission level gives the user full access to the results from a form. All other Govstack Forms functions are unavailable.
