Manage and Use

If your form contains a workflow page, you'll need to review and approve the responses before a respondent can complete the rest of the form. For example, this allows you to review an application prior to billing or completion.

Access workflow responses

To review and approve a form response that includes a workflow, you'll need to:

  1. Navigate to the appropriate form in Govstack Forms
  2. Click the “Responses” tab from the toolbar at the top of the form
  3. Select “Workflow Responses” from the vertical menu (this will take you to a list showing all responses pending approval)
  4. Click the “View Response” button next to the response you want to review
  5. After reading through the response, select the “Back to Search Results” button

This will take you back to the list of all responses awaiting approval on the “Workflow Responses” page.

Approving or rejecting workflow responses

To approve or reject a response, click the thumbs up or thumbs down button associated with the desired response. You will then have an opportunity to create and edit an outgoing email to the respondent. You can make any changes as necessary and then click the “Approve and Send Email” button or the “Reject and Send Email” button—depending on your desired response—located at the bottom of the page.

The respondent will receive the custom email and, if the information was approved, they will be able to continue to the next phase of the form.

Deleting a workflow

If you no longer want to include a workflow on your form, you can delete the workflow page.

To delete the workflow page:

  1. Navigate to the appropriate form in Govstack Forms
  2. Select the “Design” tab from the toolbar located at the top of the form
  3. Use the “Page Selection” dropdown menu and select the workflow page you want to delete
  4. Click the “Delete Page” button from the toolbar near the top of the page
  5. Select “Yes, Delete Page” from the confirmation pop-up box to complete the process
